Nevada Developer Builds Success With Sage Timberline Office


Tanamera Commercial Development, LLC has established its reputation as a premier developer of single family homes and distinguished commercial office and retail space. Maintaining its commitment to quality and value, the company is currently developing over 2 million square feet of commercial space and over 8,000 single family homes in Northern Nevada.

Ready For Renovation
Five years ago, Tanamera expanded into the commercial development marketplace. To support this extension of its operations, the company needed to upgrade its entry-level QuickBooks accounting and residential construction management software. Because each new development is established as a new corporate entity, the financials must be tracked separately, "We had been managing the books and operations of six corporate entities, and quickly we went to 45," explains Brett Seabert, CFO and COO. The increased volume, combined with the unique challenges and requirements of managing both commercial and residential construction meant that Tanamera needed a powerful, integrated contracting and accounting solution.

At Home With Timberline Office
Tanamera chose Sage Timberline Office, a fully integrated financial and operations software, powerful and flexible enough to handle all aspects of this dynamic organization's operations. The modules selected deliver project management, job costing, estimating, procurement, and accounting functionality.

The efficiencies the software delivers allow Tanamera to take on more projects without having to significantly increase its support staff. "We don't have to worry about back office accounting—Sage Timberline Office lets us focus on what we do best," reports Seabert. "Since we implemented Sage Timberline Office, our revenues have increased 2400 percent, yet we have only modestly increased our office staff."

Building Blocks Ease Expansion
Seabert appreciates the broad based functionality of the software, and the ease in which Tanamera can add new modules as its needs grow and change.

The company recently added the Project Management module, which integrates with the accounting, estimating, and purchasing modules. Seabert was impressed with the ease of implementing the module. "We're busy designing, building, and developing new projects we needed the functionality, but didn't want to turn installing the software into a project in itself. This was so easy—we paid for the license with a credit card and we went live with the software the next day."

The Project Management module has been very well received. Staff has one location where they can review all projectrelated information, including drawings, correspondence, and Requests For Information (RFIs). "Our superintendents access Project Management from the field, so they always have the latest and greatest information," says Seabert.

Previously, when a customer would request a change to a project in progress, staff would write up the change order, make copies, and distribute it for review and approval within the organization. Now that information is all stored and routed electronically, ensuring all interested parties have easy access easy access to RFI's and other project information. The system has built in controls, such as the ability to prevent a particular home buyer option from being sold after construction reaches a certain stage for residential projects.

Tanamera began using the purchasing function within the Sage Timberline Office Procurement module to closely monitor the contracts the company has with its subcontractors. Purchase orders ensure that subcontractors are paid fairly, and that Tanamera never inadvertently overpays on a contract.

Tanamera makes full use of the software's reporting power. The Report Designer and Crystal Reports® allow the staff to extract and present company data in a variety of formats, creating reports with a professional appearance for customers and subcontractors.

"Sage Timberline Office has grown with us, easily adapting to our changing requirements and lines of business," says McIntosh.

Nailing Estimates
The Sage Timberline Office estimating functionality is a big hit with Tanamera Commercial Development. "We're always looking at new opportunities," explains Seabert. "Sage Timberline Office makes it easy for us to develop a model and pro forma to see if a particular project is viable. It uses our own historical data, allowing us to compare new estimates with other similar jobs." The staff can quickly produce accurate estimates by answering a few questions through the software's Model Estimating tool. As more information is received, or as concepts change, it is easy to update and refine these estimates.

ePlan Takeoff, another estimating tool, is a tremendous time and effort saver. Staff can generate counts and quantity takeoffs directly from electronic drawings for use in their estimates. Different revisions of the plans can be overlaid to better pinpoint areas that have changed. "By seeing the changes in this way, we have the data we need to make good decisions, and actually save money when executing the change."
